Business Process Supporter - iVision

PURPOSE OF POSITION

iVision is a partnership solution for Fundraising Offices. It is an integrated suite of software with many components, including Marketing, Customer Service, Child Data Management, Donor Management, Fund Accounting, General Ledger and a donor facing web portal. This system is currently in production in Germany, Italy and Austria; and is being rolled out to at least another 15 countries that are currently using the outdated SIMMA system.

The iVision Project is a 5-year project which started in July 2008. The goal is to roll out iVision along with best practice business processes to support and enhance the ability of fundraising offices to expand their business; and ultimately to bring more resources to support the ministry of World Vision. Upon completion of all the implementations, the project will move into a Production phase which is expected to last at least another 5 years.

As part of the Globla iVision Team, this position will report to the iVision Global Project Manager and will be primarily responsible for providing project management support, business analysis, user training and support. Success in this role will allow the candidate to assume more project management responsibilities as the global project consists of many local country implementation projects that are running in parallel.

KEY RESPONSIBILITIES

• Provide end-user training during implementation phase that supports best practice business processes.
• Drive change management processes linked to the system implementation in the particular country(ies) of responsibility, provide input to country planning coordinated by both global and local project managers; support the global Project Manager in the cross-country planning of resources•
• Develops implementation plans to ensure timely completion of the project; coordinates the activities of the implementation sub-team to efficiently deliver business IT solution to the customers in the fundraising offices; responsible for developing and managing project schedule in coordination with Project Manager and Deputy Project Director and fundraising offices’ representatives.
• Update Training Materials, Use Cases, Test scripts and execution of User Acceptance Testing
• Working with other business process owners, continue to refine best practice business processes and help other countries implement them.
• Revise and Keep best practice process documentation up to date and raise system change requests to support new processes as required.
• Define system enhancements and create specifications as required.

KNOWLEDGE, SKILLS AND ABILITIES

REQUIRED:

• 5 or more years of experience in Customer Service and/or Marketing in a World Vision Support Office environment with good understanding and experience with CRM systems.
• Training in business analysis, requirements specification and business process documentation.
• A strong understanding of project management principles.
• 1-2 years' experience in developing business cases and leading small project teams in system implementation.
• 3 years of Business process support and user training.
• Ability to translate user requirements into functional specifications and also review technical design documents to ensure that they meet the functional specifications.
• Strong interpersonal, written and oral communication skills.
• Ability to train and work with users from a diverse cultural background.
• Adaptable to working with a virtual global team, working in different time zones and locations as required.
• Proven ability to lead others and guide them in adopting best practice business processes.
• Experience in using project management tools such as Microsoft project.
• Demonstrated ability to teach end-users to make effective use of business systems.
