Executive Assistant

ACRJ is seeking an energetic, organized, motivated individual with experience in a full range of
secretarial and administrative roles to join our team as the Executive Assistant.

POSITION DESCRIPTION

This staff position supports the organization in achieving our mission by expanding the Executive
Director and Deputy Director’s capacity to act effectively. The Executive Assistant is a trusted partner
who is integral to the successful operation of the organization overall.

CORE RESPONSIBILITIES

STRATEGIC PARTNER — Act as a strategic partner to the Executive Director (70%) and Deputy Director (30%) by prioritizing appointments to mirror larger organizational priorities and managing calendars.

ADMINISTRATIVE — Oversee daily logistics to increases the Executive Director’s ability to act effectively including answering phones, managing files and mail, booking travel, purchasing supplies, data entry and copying material.

TOOL AND RESOURCE DEVELOPMENT — Develop, implement and improve tools and resources to streamline and bolster the Executive Director’s daily work.

SPECIAL PROJECTS MANAGEMENT — Lead special projects that bolster the Executive Director’s external partnerships with foundations, organizations and individuals—including research and document development for use in public presentations and for distribution.

INDIVIDUAL AND TEAM DEVELOPMENT — Actively supports the cohesion of the ACRJ staff team including participation in staff meetings and other activities such as Forward Stance learning and practice. Forward Stance is a mind/body approach to strategy and movement building.

QUALIFICATIONS

This position is ideal for someone committed to building a strong and vibrant movement for
reproductive justice and growing their leadership via a unique position in organizational development
and sustainment.

  • Minimum of two years of experience performing a full range of secretarial and administrative
    functions to an executive office. Experience providing support to multiple executives
    simultaneously is highly preferred.
  • Commitment to ACRJ’s mission and social justice.
  • Flexible and comfortable in a fast‐paced environment with shifting priorities.
  • Strong ability to use systems, manage calendars, and organize information.
  • Careful attention to detail, including grammar and visual presentation of the written word.
  • Ability to hold confidential information, possess good judgment and keen awareness of other
    people’s needs.
  • Proficiency in Microsoft Office software.
  • Demonstrated ability to use Internet research resources, familiarity with social media.
  • Strong orientation toward growth and improvement, creative thinking and problem solving.
